Please read the following instructions carefully - Halo will apply these written guidelines fairly; however, any gross infringements may result in you being instructed to leave site with a proportionate reduction in hours being paid – if a Halo employee, this could also lead to disciplinary proceedings.

Although these rules are extremely specific you will be expected to apply them intelligently and think on your feet if a situation requires your initiative.

Trust your Crew Chief (CC) / Production Manager (PM)’s experience, however if you feel you are being asked to carry out a task which you feel to be unsafe or unethical you are also expected to voice your objection in a constructive manner.

If you spot a health and safety violation, it is expected for you to highlight the breach to the offending crew member, if the violation continues, you must raise the issue to your CC / PM.



1. Code of Conduct


As a member of our staff, you will be required to perform your duties to the highest standards:

Strict adherence to health and safety codes and practices.

Be courteous and helpful to clients, staff, and members of the public alike.

Dress code to be respected at all times.

No smoking on site.

No alcohol or non-prescriptive drugs before or during your employment.

All non-work-related phone calls and conversations to be conducted during breaks.

Personal conversations to be kept off site.

The taking of videos and photographs is strictly prohibited at all times, unless you have been instructed to take content, and written consent has been provided by the client to the CC / PM.



2. Signing-In Procedure


In case of emergencies, we need to know who is working on our sites at any given time. We therefore require that all contractors and freelancers sign-in and out on arrival and throughout the day by using the crew sign-in sheet with your CC / PM.



3. Site Procedures


The CC / PM will instruct crew of their duties at the beginning of every shift. They will also distribute any available plans and schedules.

If a client asks you to undertake a task for them, kindly refer them to your CC / PM unless it is something minor which you can perform without compromising your schedule.

Do not engage in any arguments with clients, contractors, or other staff. Immediately refer any dispute to your CC / PM.

If there is something you do not understand about your tasks, ask your CC / PM immediately.

You should not be given to undertake a task that you are not qualified to do, but if you feel you are competent, agree to undertake tasks as required.

You will expressly be required to keep your area of operations tidy throughout. Organise yourself accordingly by cordoning off areas if required - setting out an area for work in progress and flight-cases.

Tidy away any spare cables, fixtures, and flight-cases as you progress through your day. Never leave anything behind – keep disorder to an absolute minimum.

Keep checking on your schedule – notify your CC / PM immediately if you think that you are falling behind.

Avoid causing any trip hazards and ensure no harmful or flammable substances are left lying around

Sign off each area with your CC / PM as you progress through your tasks. Ensure each are si up to the expected standard before moving on.



4. Derigs / Strikes


The quality of your strike will directly impact the smooth running of our warehouse and the morale of our staff. We cannot emphasise enough that regardless of conditions, we ask you to perform this task to the highest standards as a mark of respect to our warehouse staff as much as for the smooth running of our operations. We ask you to pay specific attention to:


o Return every cable perfectly coiled.

o Separate every piece of trussing.

o Fold equipment as intended.

o Place equipment back into its protective sleeve / flight-case following specific method.

o Accessories must be put back in the correct cases.

o Any removed clamps are put back on the fixtures they came from.

o Cables in the right cable case or flightcase compartments.

o Any tape removed from poles and truss.

o Ensure our equipment is not exposed to water damage.

o Ensure that all of our equipment is accounted for, leaving nothing behind – double check.

o Ensure equipment is loaded onto our trucks in a safe and orderly fashion, paying special attention to protecting equipment from scuffs and breakages during transport.



5. Dress Code


When working for Halo you will be expected to wear company branded clothing which will be loaned to you for the day.

First and last impressions count, we expect to be and remain professional and appear presentable in front clients and other suppliers throughout your contract.

You are responsible for ensuring you wear/use PPE which always consists of steel toe capped shoes and a helmet. Additional PPE requirements will be advised in the job’s Advance Document, provided by the PM.

Halo will provide you with high vis jackets and hard hats when required. This must be worn if the risk assessment indicates a need for them.



6. Health and Safety Guidelines


Electricity can kill!  If you are required to move any electrical equipment, ensure that it is unplugged from the power source.

Do not open any plugs, lights, sound equipment or any other electrical item unless you are qualified. If you are qualified, ensure the equipment is not connected to a power source before dismantling.

The safest way to deal with electricity is to seek advice if in any doubt.

Your safety, your colleague’s safety and our client’s safety are paramount. If any situation comes to your attention, which has a potential safety concern, ensure that you raise it with the site CC / PM at the earliest possible opportunity.

Flight cases to be stored sensibly. Cables to be run safely and without causing a potential trip hazard. Use cable ramps and rubber matting where available.

Think before you lift – your posture is very important! Your legs should be bent and your back straight, look up as you lift, use your thigh muscles to power upwards.

If you are uncomfortable with the load you’ve been asked to lift, or if it exceeds 25kgs in weight or 8ft in length, seek assistance from a colleague.



7. First Aid


A First Aid Kit will be provided on every production. Please make yourself aware of it’s location whilst you work on-site.

Any accidents or near misses need to be recorded in the accident book provided. Keeping records allows us to learn from any incident and make sure no one is injured in the same way. It also fulfils our legal obligations under RIDDOR.



8. Fire


Fire procedure, emergency plans and assembly point should be run through with the CC at the start of the day.

Make yourself aware of the nearest exits to where you are working and the relevant assembly point.



9. Risk Assessments


Risk assessments for any production work will have been carried out for your safety as well as that of the public. We ask that that you read it in full as, by law, you will be in a chain of liability if an incident happened through negligence.

All Health & Safety control measures are highlighted on the relevant risk assessments. These will highlight the specific risks and hazards that may be encountered on-site. All control measures are to be followed by all members of staff on site.

Risk assessments and method statements are to be distributed, read, and signed by all crew members. Failure to do so will result in your immediate dismissal from site.

If you do not understand any of the risk assessments, please bring this to the attention of your CC/PM who will answer your questions before you start work.



10. Hired Laptops with AV Applications


Any Halo supplied laptop must return as supplied, including OS and programme updates. Installing any applications (both first and third-party) as well as Windows Updates is strictly prohibited, as it can break software compatibility.



11. Expected tool requirements for fit-ups:


As a freelancer you will be expected to bring to site the following personal tools:

Staging / Rigging:

Stanley Knife

Adjustable spanner

Hammer


Lighting, AV and Audio:

Set of screwdrivers

Pliers

Wire Cutters

Stanley Knife

Adjustable Spanner


If a Halo employee, the above will be supplied to you, however any loss of company equipment will be charged for. Any Halo supplied tools should be treated as your own.

Consumables and specialised tools will be supplied by Halo.
